Quotes & contracts

Quotes, retainers and e-signed contracts, from inquiry to paid

For work that needs a price before it needs a time slot. A client fills out your inquiry form, you send a quote, and they sign the contract and pay the retainer on the same page.

Building a contract template in Stability from blocks and inserting merge fields
Contracts are built from blocks. Client name, date, total and balance fill in when you send.

Quotes & contracts

From the first question to the final payment

  1. 01

Inquiry forms that ask the right questions

Up to 20 questions per form: short and long answers, numbers, dates, times, multiple choice, checkboxes, yes or no, an address and up to five photos. Answers for the date, location and party size carry into the quote.

  2. 02

    Itemized quotes with a retainer

Add line items with a quantity, the minutes involved and who each one is for. Apply a discount, set the retainer as a percentage or a fixed amount, and pick a balance due date.

  3. 03

Sign and pay on one page

Your client reviews the quote, signs the contract, then pays the retainer by card. If they'd rather pay another way you accept, they can confirm that instead.

  4. 04

Balance reminders you don't have to send

Stability emails the client seven, three and one day before the balance is due, then once a day after it's late.

  5. 05

Contracts and waivers on every plan

Build templates from headings, paragraphs, payment terms, your cancellation policy and a signature block. Ask for initials if you want them. Use a waiver once per client, or a contract on every booking.

  6. 06

A signature record you can rely on

Each signing link needs a six-character access code. Clients consent to sign electronically, then draw or type their signature. Stability records the time, IP address and device, seals the PDF and stores its SHA-256 fingerprint.

What the client sees

Line items, who each one is for, the retainer due now and the balance date. The contract has to be signed before the quote can be accepted.

The specifics

Details worth knowing

  • An accepted quote becomes bookings on your calendar, or an event with crew and a timeline on the Business plan.
  • Send a contract on its own, or attach it to a service, a quote, an event or a single booking.
  • Merge fields include client name, services, event date, location, total, retainer, balance due and your cancellation policy.
  • Bookings that need a signature are cancelled if it isn't signed within 48 hours, with a reminder first.
  • Quotes expire after seven days unless you change the date.
  • Inquiries are tracked as new, quoted, won or lost.

Common questions

Questions about quotes & contracts

Do clients need an e-signature account?

No. They open the link, enter the access code from the email and sign in the browser on any phone or computer. They can download the signed PDF afterward.

Is e-signature an extra charge?

No. Contracts, waivers and e-signatures are included on both Solo and Business.

Can one quote cover a group, like a bridal party?

Yes. Each line can say who it's for, such as Bride or Bridesmaid 2. On the Business plan the accepted quote becomes an event with each person on it.

Does it work with DocuSign?

A DocuSign connection is listed as coming soon in a separate Integrations add-on that isn't on sale yet. The built-in e-signature covers everything on this page.
